Job Description
Reporting to the Operations Manager the Supervisor of Coordination will be responsible for the supervision of the Coordination team in addition to other administrative functions supporting operational excellence within an assigned branch.
Qualifications
- Post-Secondary education in Business, Administration, or other relevant field
- Minimum of two (2) years’ experience in a business/operations role plus a minimum of two (2) years’ experience in a supervisory role is required
- Superior oral and written communication skills to effectively interact with staff, clients, families and other stakeholders
- Effective skills in critical thinking, business acumen and problem solving
- Excellent computer skills including experience in Word and Excel are required
- Knowledge of the Goldcare or Calipso software system will be an asset, but not required
- Able to provide a current, clear criminal background check dated within 6 months of hire
Responsibilities
- Participates in the hiring, training, orientation and on going supervision of Coordination staff
- Utilizes Goldcare, Calipso and ELMO software to collect and amend employee data upon hire and termination
- Administers WSIB utilizing Parklane software to manage absences and document cases for Coordination staff
- Supports payroll functions through investigation of inaccuracies and the input of indirect time and the processing of payroll for Administrative and Coordination staff
- Liase with Accounting, Coordination and Front line staff in order to investigate and resolve billing discrepancies
- Effectively conveys corporate policy changes to staff ensuring compliance with company policies and procedures
- Leads and participates in departmental meetings providing clear communication
- Generates various reports outlining adherence to contract standards, overtime reports and other valuable statistics
- Ensures operational efficiency and client satisfaction through the analysis of operational data and reports
- Collaborates and works closely with the Human Resource Generalist to ensure Quality of Client Care through appropriate scheduling
- Collaborates with Recruiter or HR Generalist to determine workforce requirements
- Reviews and approves time off requests and overtime for Coordination staff
- Shows respect for cultural needs, dignity, privacy and confidentiality of staff and clients
- Ensures compliance to ParaMed policies, procedures and legal requirements
- Other duties as assigned
Competencies
In compliance with provincial and federal regulations and contracts with government agencies or private funders, the Supervisor of Coordination supports Branch operations and objectives in the areas of Human Resources, Payroll and other administrative functions
