Scope of Position: Office Administrator/Receptionist
You will perform administrative functions to ensure efficient operation of our call centre facilities. The appropriate candidate will be able to organize, prioritize and work independently in a fast paced environment, while working alongside the office staff and under the Office Manager to properly ensure all office requirements and call centre needs are met. The chosen candidate will possess the interpersonal skills required to communicate professionally with clients, maintenance personnel, suppliers, office staff and interview applicants to ensure all business needs are being met.

The chosen candidate will possess the interpersonal skills required to communicate professionally with clients, maintenance personnel, suppliers, office staff and interview applicants to ensure all business needs are being met.
Responsibilities:
- Provide full time support as reception for incoming calls and visitors
- Inventory supply maintenance
- Petty cash maintenance
- Equipment/ locker assignment & tracking
- Manage incoming & outgoing mail
- Filing and document creation
- Assist with Front Line recruiting, including processing applicants, testing, and paperwork
- Conduct Reference checks
- Organize orientation room for new arrivals
- Organize catered luncheons
- Participate on the Health & Safety & Social Committees
- Schedule repair or maintenance of office equipment
- Oversee facility maintenance & resolve facility issues including coordinating with landlord external vendors
- Various administrative support to Management and Executive as needed
- Advance knowledge of Excel (Excel testing involved in the interview process)
- College diploma in Office Administration and/or 2 years of work experience or equivalent
- Proficient with Microsoft Office applications - Word, Outlook, Excel
- 1 year experience coordinating projects, renovations, and employee events
- Basic understanding of facility upkeep, ie) carpet cleaning, toilet plunging, electrical, and general repair to facility
- Detail oriented, eager and willing team player
- Ability to thrive in a busy environment and adapt quickly to accept new responsibilities
- Proactive problem solving abilities
- Composed under pressure
- Professional and friendly approach with clients, applicants, visitors and fellow employees
