Job Description
Looking for an experienced Executive Assistant for a company President in London Ontario.
This qualified candidate will be driven and motivated, passionate about organizing and maintaining schedules, high attention to detail.
This permanent opportunity is paying between 50-60k.
Responsibilities :
Administrative Support
-Create manuals and binders as requested
-Special event organization (Christmas events, picnics, lunches, etc.)
-Administer corporate clothing orders
-Act as backup for the Administrative Assistant, including travel arrangements for all staff, field service administration, etc.
-Maintain professional registration with PEO, APEGA
Corporate Communications
-Assemble, edit, set up, record and administer all facets of the monthly staff meetings.
-Create, edit, and distribute the monthly newsletter
Proofreading Team Member
-Proofread outgoing proposals and other documentation as required
-Participate in and run quarterly proofreading team conference calls
-Participate in quarterly Proposal Template Issues Deck conference call
-Administer quarterly updates to the proposal templates
-Perform quarterly spot check on company website
- Annual appreciation event planning
-Maintain the President’s schedule, including scheduling meetings and appointments, clearing conflicts,
-Screen incoming mail
-Miscellaneous administrative support (vehicle service, PEO renewals, time sheets, expense reports, benefit submissions, personal appointments, various projects)
-Able to thrive and succeed in a fast-paced, dynamic environment
-Advanced knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint, Publisher) is a must
-Extreme attention to detail
-Three to five years of experience in an Executive Assistant role, preferably in a professional services industry.
-Excellent spelling, grammar and proofreading skills
-Minimum of two years post-secondary education in a relevant administration program.
-Able to work independently under minimal supervision
-Ability to switch gears without notice and remain calm under pressure
