PROJECT ADMINISTRATOR
(This is a newly created role with full-time hours on a 1 year Contract)
Role
Reporting to the Vice President, Finance and Operations, is accountable for providing comprehensive data, project and research support.
Key Responsibilities
- Controls/Process documentation
- Supports process mapping and work flow analysis. Ensures processes are streamlined (i.e. effective, efficient and economical) with minimal gaps and overlaps. Ensures written procedures are in place.
- Data
- Reviews Raiser’s Edge and Financial Data Edge databases. As the lead person for data entry: ensures integrity of data; creates and produces query reports; creates lists and mailings; monitors mass media to keep client records current; tests all controls annually related to systems and data integrity.
- Projects
- Coordinates a range of projects related to Donor Relations and Grants. Processes grant requests. Assists with grant programs and award administration.
- Other
- Backs up Executive, Financial and Operations Administrators as and when required.
Education
- Secondary School Diploma or equivalent combination of training and experience.
- College Certificate or Diploma in Administration is preferred.
- Advanced level Financial Edge, Raiser’s Edge or other comparable donor database.
- Advanced level Microsoft office (Excel, Outlook, PowerPoint, Word).
- Skilled in coordinating projects from needs analysis through implementation to evaluation.
- Skilled in researching a range of projects and preparing meaningful summaries on a timely basis.
- Organized; ability to juggle competing interests.
- High attention to detail.
- Commitment to collaboration with the team.
- Ability to work independently.
- Strong commitment to quality effort and outstanding results.
Experience
- At least 2 years of experience in a Project and Systems Administration role in a Foundation or not-for-profit agency.
Other
- A current Police Vulnerable Sector Check is required.
