Sifton Properties Limited invites applications for the following newly-created full-time position:
Office Administrator (New Homes)
Duties include (but are not limited to):
• Developing, defining and implementing new or improved processes in consultation with the Director of Housing Operations to ensure quality standards are consistently met within the New Homes office.
• Prioritize with various New Homes staff any time-sensitive updates relating to all activities at the New Homes office including design, purchasing, estimating, warranty, and administration. Assist with the coordination and completion of these tasks on an ongoing/daily basis.
• Ensure the Newstar system database is maintained with current trade information, costs, pricing and products. Review Newstar analysis reports on a regular basis to ensure data is complete and accurate. Ensure all processes are followed throughout the homebuilding cycle.
• Provide assistance to the Estimator, Purchasing Administrator and Director of Housing Operations as required, to trouble-shoot software or process-related issues, as well as providing back-up and support as necessary.
• Compare costs to budget and analyze trends in coordination with Head Office Accounting Staff, as well as work with IT and Accounting department to develop and deliver reporting mechanisms to analyse trends and sales data. Coordinate collection of hourly payroll data for New Homes for bi-weekly submissions.
• Supervise and co-ordinate activities of Receptionist. Establish and encourage regular communications of processes and information to New Homes and Head Office teams as required.
Applicants should have the following qualifications:
• Degree of diploma in business administration or equivalent experience.
• Minimum of 3 years administrative experience in a home building environment.
• Thorough understanding of the home building environment and processes, including ability to read and interpret plans and sales addendums.
• Demonstrated expertise using MS Office programs, accounting and homebuilder software. Constellation (Newstar) knowledge and experience is considered an asset.
• Strong attention to detail and ability to meet deadlines, organize, prioritize tasks and coordinate business activities within office environment.
• Proven problem-solving and analytical skills with the ability to collaborate positively with others both internal and external to the organization
• Supervisory experience; effective and positive communication skills, both verbal and written; effective approach demonstrated when coaching and providing feedback.
