POSITION TITLE:   MSc and CEMS Program Officer
DEPARTMENT:      MBA and MSc Program Services

PRIMARY OBJECTIVE OF POSITION:
 
The Ivey MSc program is one of the central business units within Ivey and has been identified strategically as an area for growth in program offerings and student enrolments.
 
The MSc and CEMS Program Officer is the primary contact for the MSc program managing all aspects of the student experience ensuring a strong and positive student experience while in the program. 
 
This role manages the phases of the student life cycle: entry into the MSc and CEMS programs and the Ivey and NHH dual degree program; implements plans for enrolment growth and new program streams; oversees the CEMS and MSc exchange portfolio, selects students going on exchange and liaises with exchange partners; plans and delivers numerous program events, seminars and their budgets; counsels students on academic requirements and prepares appeals; collaborates with the MSc student association and clubs. This role also manages strong relationships with various external stakeholders (CEMS and MSc exchange partner schools, program events, summer practicums) and with various Ivey and Western University departments.
 
The MSc/CEMS Program Officer, with the MSc/CEMS Faculty Director and Senior Leadership, supports the development of strategic business plans for program growth and new streams, and is responsible for the execution of project plans for the implementation of program strategies.
 
KEY RESULT AREAS:

  • Project and Event Management.  MSc and CEMS project and event management of the Block Seminar, 10+ seminars, 2 – 3 summer practicums, case competition, Convocation, and other special program activities. Develop and monitor budgets.
  • Advising and counselling.  Advise students on course selections, program requirements, appeals process. 
  • CEMS and MSc Exchange Program.  Manage the CEMS and MSc exchange program: interview and select students going on exchange, liaise with approx.35+ exchange partner schools, approve learning agreements with schools and students, plan and deliver orientation and pre-departure sessions, advise students regarding CEMS language requirements, etc. 
  • Strategic Planning. Together with the MSc Faculty Director and Senior Leadership, support the development and implementation of strategic business plans for enrolment growth, new MSc streams, and other special projects.
  • CEMS and MSc Admissions. Participate in admissions interviews for Ivey MSc CEMS candidates and in MSc admissions committee meetings and communicate with incoming students. 
     

MAIN ACTIVITIES:
 
ACTIVITIES WITH PRIMARY DECISION-MAKING RESPONSIBILITY:
 
MSc Program Management (30%)
  • Project and event management:  create project and event planning documents, plan and deliver Orientation sessions, Block Seminar, skills seminars, case competition, and other special events.   Determine venues, suppliers, vendors, corporate visits, transportation, accommodations, catering, and communications to students, faculty and suppliers. Develop and monitor budgets for each event and project.
  • Together with Faculty Director, MSc Program Services  team and travel vendors, plan and implement summer practicum for each stream: pre-trip classes, visas, pre-departure session, student projects, travel logistics, roommates, debrief sessions, etc.
  • Advise and counsel students on program requirements; counsel upset students with academic and personal concerns.  Complex or unusual situations are referred to the MBA/MSc Program Services Director and MSc/CEMS Faculty Director.
  • Prepare academic appeals: advise students on process, compile appeal information, coordinate appeals committee.
  • Provide advice to MSc student association and clubs on event planning, elections, succession planning, guest speakers, and special initiatives.
  • Work with Career Management on the coordination of the MSc Networking Event and other events where the MSc program and Career Management overlap.  

CEMS Exchange Program, MSc Exchange, Dual Degree Program (30%)
  • All relationship management with exchange partners and dual degree partner, and incoming and outgoing exchange students.
  • Development of selection process, interview guidelines and interview assessment key for exchange interviews and selection of students.
  • Negotiate number of student exchange spots with CEMS partner schools. 
  • Academic counseling for students regarding international opportunities, course selections, review and approve student learning agreements.
  • Collaborate with CEMS Language Faculty Lead (Professor) to offer CEMS language testing and language classes.
  • Plan and implement CEMS Block Seminar with corporate visits and approx. 10+ CEMS and MSc skills seminars.  Develop and monitor budgets for all seminars.
  • Plan and deliver exchange orientation sessions and pre-departure sessions for incoming and outgoing CEMS, MSc and dual degree students. 
  • Adjudicate student academic records for eligibility for CEMS Convocation. 
 
 
Special Projects – Program Growth, New Streams, Special Initiatives (30%)
 
  • Under the direction of the Faculty Director and Senior Leadership, support the development and implementation of strategic business plans for enrolment growth, new MSc streams, and other special projects. 

MSc and CEMS Admissions (10%)
  • MSc. Participate with the Faculty Director, MSc Admissions staff and Career Management staff in reviewing applications to the MSc program.  
  • CEMS. Participate with the designated Ivey CEMS faculty member and CEMS Language Professor from Western University in reviewing applications and interviewing students for the Ivey MSc / CEMS program.
  • Prepare pre-arrival information and communicate with incoming MSc and CEMS students. 


ACTIVITIES REQUIRING CONSULTATION AND/OR COORDINATION:
 
  • Students. The following student situations are referred to the MBA/MSc Program Services Director and/or Faculty Director for consultation.
- Extenuating and compassionate circumstances affecting students.
- Students requesting special exam considerations.
- Grade revisions, grade and program appeals, students dropping courses after deadlines.
- Students withdrawing from the program.
- Interpretation of MSc and CEMS academic requirements.
- Special student initiatives.  
- Special initiatives and issues with the MSc student association and clubs.  

 
  • Program Events.  Together with the MSc Program Services team, coordinate and deliver the many program activities, e.g. orientation sessions, Block Seminar, skills seminars, convocation summer practicums, and other special events.   
  • Faculty.  Critical to the smooth operation of the program and a positive experience is the interaction between the MSc staff, its leadership and faculty. All of these stakeholders work together in partnership to ensure a smooth program administration.  With the Faculty Director focused on curriculum management and faculty relations, the incumbent has a focus on program administration and student relations.  Many decisions, however, do need to be discussed and agreed to within the partnership so that both faculty and staff are working towards the same objectives related to program administration and student relations. 
  • Program Growth and Development.  Consult with the Faculty Director and Senior Leadership on initiatives for program growth and for the implementation of new streams in the MSc program.  Consult with the MBA/MSc Program Services Director on the implications of program growth and new streams on administrative systems and processes.   
  • Academic Policies.  The MSc program operates within the infrastructure and academic policy of Western’s Registrar and University Secretariat Offices.  As Ivey’s MSc program is a graduate program of Western University, it falls under the academic policies and procedures of the School of Graduate and Post-Doctoral Studies (SGPS). The incumbent works closely with these partners to interpret and manage the services and policies which apply to Ivey’s students. 
     
     
REQUIRED EDUCATION AND EXPERIENCE:
 
  • Bachelor’s Degree.
  • Four years related experience in student/client advising and project and event management.    

SKILLS AND KNOWLEDGE REQUIRED:
  • Demonstrated project and event planning skills and experience and budget management.
  • Proven track record in providing superior student-facing advising, counselling and service in a hectic, professional and client-centric environment.
  • Proven ability to work effectively and accurately in an interruptive environment.
  • Interest and experience in international student relations considered an asset.
  • Demonstrated ability to utilize mature and professional judgment to identify and resolve problems and when to refer to appropriate resources.
  • Demonstrated exceptional interpersonal and communication skills.
  • Ability to develop and deliver professional presentations to students.
  • Ability to take initiative and work cooperatively and independently within a small team.
  • Strong database management, database reporting and computer skills: Microsoft Office, Word, Excel, PowerPoint and Salesforce.
  • Strong knowledge of policies and procedures of the University, Ivey and CEMS.
  • Knowledge of confidentiality and privacy legislation and ability to maintain confidentiality.
  • Knowledge of the graduate business program market is desirable.
  • Because of the academic cycle, there are restrictions on vacations at certain times of the year.  Overtime may be required during certain events and at peak periods.
