OPERATIONS ADMINISTRATIVE ASSISTANT
 
Ensure the smooth operation of the Operations Department by providing timely administrative support.  This position reports to the Director of Operations and provides general support to our Operations departments and Branches.  If you enjoy variety and are qualified, we would like to hear from you.
 
Responsibilities include: 
  • Create reports and spread sheets requested by the Director of Operations or other departmental staff (i.e. Smartlist reports, Open Orders, Back Orders, Returns, Inventory Valuation, etc.).
  • Providing administrative support including typing, preparing labels, issuing correspondence, filing, scheduling meetings, taking minutes, tracking attendance, maintaining the Directors calendar and ensuring all documentation and arrangements are prepared prior to meetings.
  • Make travel arrangements for the Operations team as needed basis.
  • Liaising with other Directors, Managers and branch personnel to support the Operations department.
  • Assisting with expense reports, budget, fiscal business plan preparation and annual year-end inventory.
  • Providing Reception coverage on a regular basis, during breaks, etc.
  • Preparing and distributing monthly Operations Report on the basis of measureable information.
  • Assisting with data collection, responding to questions, facilitating resolution of concerns and providing operational support to Purchasing, Customer Service, Logistics, Branches, ISO audits, Great Plains, and more as needed.
 
Our Operations Administrative Assistant also has the opportunity to become involved in a variety of projects.
 
We would like to receive your resume if you have:
  • Post-secondary education
  • The proven ability to transpose data into  meaningful charts, graphs and other visual presentations
  • Advanced MS Office skills, especially using Excel and Word
  • Experience utilizing inventory management systems to extract data, identify trends, etc. (Great Plains experience would be ideal).
  • Intermediate level PowerPoint
  • More than 3 years of job-related experience
  • A team oriented demeanor
  • Seasoned verbal and written communication skills
  • Ability to work independently as well as in a team
