Job Description

Summary of Duties

 

Reports to the Coordinator, Development & Compliance Services. Maintains the Building Division files and plan records for the Division. Provides backup assistance for customer service representatives of the Building Division.

 

Work Performed

 
  • Maintains filing system for active permit plans including tracking of drawings temporarily taken from files, prepares signed-off drawings for transfer to long term storage, and reproduces file copies as required. Enters and maintains data on the building bases (e.9. Amanda, C-4 and Access) on a daily basis including updating status on completed inspections, issued orders and complaints runs and checks weekly reports to ensure accurate information is available on an up-to-date basis.
  • Performs a variety of clerical duties such as filing, checking, sorting, distributing, indexing and record reproduction using a variety of media (e.9. Hard-copy, microfilm, electronic document imaging and computerized permit control) to ensure the ability to promptly retrieve stored documents.
  • Runs bring-forward report, (e.g. inspection calls), contracts clients and follows up on inspection calls, to complete and update file documentation or close files, contacts clients when required inspections not requested, as necessary.
  • Contacts and takes calls from engineers, architects, contractors to request outstanding documentation needed to sign off permits.
  • Summarizes inspector monthly activities from daily records (i.e. inspectors "received and completed", orders issued, complaints, etc.)
  • Provides front counter / telephone customer service backup assistance and relays to Section or persons concerned, as required.
  • Using word processor types, records, prints and mails permits, reports and routine correspondence, etc. as required.
  • Operates standard office equipment including personal computer with a variety of software packages.
  • Keeps adequate toner and paper supplies available for fax, printer, microfilm and photocopier, as required.
  • Performs related duties as assigned.
 

Qualifications/Experience

 
  • Ontario Secondary School Diploma.
 

Specialized Training & Licenses

 

Skills and abilities in the following areas are necessary:

 
  • Typing speed required is 50 w.p.m.
  • Demonstrated proficiency in word processing, spreadsheets and various software.
 

Compensation and Other Information

 

$34,122 - $49,189 (Level 5)

 

Other Information

 

Current hours of work:

 

Monday-Friday from 8:30 a.m. to 4:30 p.m.

 

These hours of work are subject to change in accordance with the Collective Agreement and may include evening hours and Saturdays.

 

This is a permanent position being filled on a temporary basis up to 2 years.
