Property Manager – SW Ontario
TerraCorp Management Inc, a well established property management company/ owner / developer is looking for an energetic and enthusiastic experienced Property Manager who will be working out of our London office, and will be responsible to manage a portfolio of rental properties in London, Kitchener/ Waterloo, Brantford and Owen Sound.
Reporting to the General Manager the successful candidate is responsible for the overall performance of buildings in their portfolio and for managing all building staff.
Duties include but are not limited to
• Customer Service - Liaise with tenants regarding problem resolution, and arrears
• Ensure building cleanliness and upkeep of all properties
• Understand & be familiar with status of maintenance work orders at each property
• Source, price and schedule major and minor repairs at each property
• Work with Resource Manager to ensure timely completion of work
• Extensively participate in the successful marketing and leasing of each property
• Hire, train and regularly communicate with building staff
• Manage residential & commercial buildings in portfolio
• On-call for Fire Alarm Monitoring and Emergencies
• Dealing with Incident Reports, promptly resolving issues
• Organize quarterly Building Manager Seminars
• Conduct regular Building Inspections
• Deal with trades and maintenance personnel and other staff
• Set up staffing model, establish and monitor cleaning schedule
• Work with Leasing and Construction Teams to ensure successful occupancy
• Assist and supervise building staff to ensure successful transition from construction to occupancy
• Organize move-in schedules for new residents
• Set up Building Manager’s office Administrative
• Complete and submit payroll information
• Manage building staff following company procedures
• Ensure all building inspection forms are submitted for review Maintenance
• Communicate with Building Managers to ensure Maintenance in completed in a timely basis
• Resolve after hours emergencies
• Deal with regulatory bodies, ensure that properties comply with requirements
• Handle and resolve compliance issues, requirements and deficiencies for Fire, generator, elevator etc. systems that exist within portfolio
• Involved in Capital planning and repairs Purchasing/Costing
• Receive, review, and authorize quotes for work following company procedures
• Work within building specific yearly budgets
• Focus on cost reduction and long term planning
• Secure snowplow/landscape contracts
• Set up new contracts for monitoring, garbage pick-up etc. Inspections
• Regular & detail oriented inspections of complete property: including: apartments, common areas, lobbies, stairwells, parking decks, grounds, exterior etc. Arrears/Rental Loss
• Contact tenants with rent arrears,
• Provide information and follow up with legal department on status Qualifications:
• 2-3 years of experience in managing rental properties an asset
• Training in property management or related discipline preferred but not required.
• Supervisory experience in managing properties and staff and proven ability at directing others.
• Good understanding of general construction and maintenance
• Strong organizational and negotiating skills,
• Excellent business management, strong analytical and problem solving skills.
• Demonstrated understanding of financial statements
• Computer proficiency in Microsoft Office software including Word, Excel and Outlook
• Demonstrated ability to learn and adapt to new software programs
• Excellent verbal, and written communication skills
• Must have own vehicle and a clean driver’s abstract
• Must be available to work flexible hours.
