Our client, a leading energy supplier in the Grand Bend, ON area, is looking for an experienced Administrative Assistant to manage the office at one of its busy construction sites. The ideal candidate will be an administrative professional whose experience includes time spent on a construction site and a strong understanding of the related workplace dynamics. This is a contract opportunity that requires a minimum of two years of experience.

RESPONSIBILITIES:
  • Ensure transfer of confidential personnel information to Human Resources, including SIN numbers and work permits
  • Book truck reservations and hotel reservations for site personnel, keeping accurate records.
  • Collect timesheets and record work hours in SAP on a weekly basis
  • Record customer-consumed man hours on separate tracking sheet and issue to Site Manager on a weekly basis
  • File packing slips and other material information on shared drives in coordination with Site Store Keeper and Site Manager
  • Manage office supplies, order trailer furniture and ensure general tidiness of site trailer (light cleaning duties such as dusting) as needed
  • Assist in day-to-day administrative tasks such as copying, note taking and scanning as requested by Site Manager, HSE Officer or Site Store Keeper
  • Place IT Help Desk tickets for individual or general IT problems
  • Create export documentation and shipping requests for materials on site
  • Other duties as required
 
QUALIFICATIONS:
  • Minimum 2 years of professional administrative experience, including previous experience in a construction site and ability to support the work environment dynamics
  • Candidates must be comfortable working on a construction site and in a trailer
  • Proficiency in Microsoft Office, especially Excel and Outlook
  • Strong attention to detail, with the ability to record and analyze information accurately
  • Excellent communication and interpersonal skills, with an outgoing and open nature
  • A valid driver’s license and vehicle is required
