PRIMARY OBJECTIVE OF POSITION:

 

Reporting to the CAO, the Director of Facilities Management directs the facilities management operations of the Ivey Business School and its other campuses. The Director oversees the delivery of essential facility renovations, repairs and maintenance, preventative maintenance, and building services. The Director of Facilities Management works closely with Western Facilities Management and Facilities Engineering to develop priorities for necessary repairs and preventive maintenance of the main Ivey building and the Ivey Spencer Leadership Centre.

 

The incumbent will lead the Occupational Health and Safety Program for the Ivey Business School ensuring understanding and compliance with Western University policies and Provincial Government regulations and legislation. He/she will lead a team of Facilities Management staff responsible for the delivery of customer service to the Ivey community. The Director of Facilities Management supports the CAO and senior leadership team on major strategic capital initiatives including the new Calgary campus, major renovations of the Ivey Spencer and Tangerine Conference Centres, as well as the renovations to the lower level of the main Ivey building.

 

KEY RESULTS AREAS:

 

  • Ensure a safe, secure and well-maintained environment at the Ivey Business School facility and other Ivey facilities
  • Lead  the delivery of essential building services and resources of Facilities Management in an effective manner which best meets the needs of the School; establishes appropriate policies and procedures that promote service-orientation to students, faculty, and staff
  • Ensures preventative maintenance on all facility equipment (HVAC, Electrical Systems, Mechanical Systems, Fire Prevention Systems, Life Safety Systems and Security Systems) is carried out in an appropriate manner to ensure the continuity, safety and efficiency of operations.
  • Audits the facilities regularly and recommends future repair, restoration and renovation projects as required.
  • The incumbent recommends and implements security upgrades and advocates for physical facility upgrades.
  • Responsible to oversee building maintenance, renovations and capital construction projects undertaken at Ivey’s facilities and as such, liaises with architects, engineers and contractors to bring projects to successful completion on time and on budget.
  • Responsible for the leadership, communication and adherence to the Occupational Health and Safety policies of the University and relevant Provincial legislation for the Ivey Business School. 
  • Support the CAO and senior Executive team and liaises with Western’s facilities management, project management and engineering to ensure facility investments support the longer-term strategic objectives of the school.

 

RESPONSIBILITIES:

 

  • Direct the planning, implementation, and evaluation of Ivey’s facilities and building services.
  • Inspects the facility equipment at the main Ivey building and Ivey Spencer Leadership Center on a regular basis to ensure preventative maintenance schedules are appropriate, and repairs and maintenance of the building and equipment are performed when required.
  • Develop and maintain a process for managing work order requests.
  • Effectively lead, evaluate and develop the Facilities Management team.
  • Reviews current staffing and future staffing needs to ensure efficient operation of the department.
  • Responsible for an effective room reservation system and policy to ensure the authorized and efficient use of Ivey’s classrooms, breakout rooms, and other resources.
  • Primary oversight of the card-access security system (controlling exterior doors, break out rooms, classrooms, meeting rooms and lounges).
  • Prepares and monitors operating budgets for the facilities and building services and contributes to capital budgets.
  • Responsible for the development and maintenance of workstation policies.
  • Provides project management support to renovation and maintenance projects at Ivey and other campuses
  • Leads all renovations, upgrades and expansion projects
  • Consults with all departmental leaders regarding facilities and building services issues

 

EDUCATION:

 

  • Undergraduate degree in Management, Business Administration, Technology and Construction Management, or a related field.
  • Trade license an asset, with Electrical license preferred.
  • Professional certificate in project management preferred.

 

KNOWLEDGE & EXPERIENCE:

 

  • Minimum of 8 years’ experience leading a team of facilities management staff.
  • Experience in a not-for-profit environment is an asset.
  • Knowledge and practical experience in electrical, mechanical, HVAC and other building trades; thorough understanding of preventative maintenance systems required.
  • Experience and knowledge of business management practices, budget management, service agreements and external contractor performance management.
  • Project management experience in renovation and maintenance projects is required.
  • Experience overseeing physical plant specialists, technicians, trades and external contractors is essential.

  • Superior interpersonal skills and the ability to manage in a complex environment using sound judgment to balance multiple stakeholder positions.
  • Demonstrated professionalism and diplomacy
  • Ability to build relationships and manage successfully in a demanding            customer service environment

 

Position:  This is a 2 year renewable contract position providing a competitive salary and comprehensive benefits program.
