Mutual Funds Administrator - Part Time/Flexible

Our client, The Investment Planning Counsel in Woodstock, ON is currently looking for a Mutual Funds Administrator to join their team! As an integral part of the administrative team, you will be responsible for providing great customer service and a positive client experience, while processing daily mutual fund transactions. If you are detail orientated, like some variety in your work and enjoy client interaction, this position might be for you.

This position is a part time opportunity Monday to Friday with the flexibility to work 10:00 am to 3:00 pm or 11:00 am to 4:00 pm, with a one-hour lunch.  The hours can be adjusted in a flexible manner.  There is the requirement for the position to cover other staff vacations and/or leaves as they occur.

Some of the responsibilities will include:
  • Process daily mutual fund transactions, including purchases, redeems, transfers, and more, for specified Advisors
  • Prepare bank deposits for mutual funds
  • Prepare paperwork for Advisors for upcoming client meetings
  • Provide clients/advisors with information as needed, such as tax receipts, statements, etc.
  • Direct clients to appropriate Advisors when in need of assistance
  • Follow up on payment changes to ensure client satisfaction
  • Check trade reports daily to ensure trades are complete
  • Provide other means of support to Advisors as requested
  • Provide back-up support for clients in the reception area
  • Other administrative duties as required
What we require:
  • Proven experience working in a professional office environment
  • Experience working with a mutual funds or financial planning environment an asset
  • Experience with banking would be an asset
  • Excel skills and other Microsoft Office skills an asset
  • Being detail oriented, with a demonstrated ability to follow processes and procedures required
  • Ability to interact with a variety of clients and customers in a friendly and inviting demeanor
