Reporting to the Office Manager, this temporary full-time position will provide general assistance and administrative support within our Head Office as required.

Primary Duties include (but are not limited to): 

  • Provide daily relief for switchboard and reception area, and cover regular reception duties for staff absent for vacation or other reasons.
  • Accurate sorting, distribution, organizing and filing of documents, including mail and faxes.
  • Document preparation using Word and/or Excel as required.
  • Photocopying/scanning and compilation of various reports and documents from accounting and other departments.
  • Assist with the maintenance, ordering and distribution of kitchen and stationery supplies for the office. Maintain supplies inventory in print rooms, ensure paper stock is stored and equipment loaded.
  • Respond to staff inquires related to office equipment, including photocopying and phones. Place service calls as directed.
  • Assist other head office departments with administrative support tasks, as required.
  • Provide administrative support for New Homes, Residential Income Properties, including filing, invoice distribution and maintenance of Retirement construction documents.
 
Applicants should have the following qualifications: 
  • Certificate in Office Administration or equivalent experience
  • Strong customer service focus
  • Professional telephone and reception manner, including experience operating multiple phone lines
  • Good communication and interpersonal skills.
  • Knowledge of the operation of standard office equipment
  • Good working knowledge of Microsoft Office, including Outlook, Word and Excel; experience in all types of document preparation
  • Detail-oriented and organized, ability to prioritize
  • Self-motivated and flexible, with proven ability to work effectively both independently and as a positive contributor to the administrative support team
