Job Description

 
Our client, an engineering firm is searching for a dynamic and self-motivated Administrative Assistant on a contract basis (2 month with possibility for extension). In this role you will provide general administrative support in an efficient and timely matter.

Responsibilities:
  • Maintain calendars
  • Drafting various communications as required (emails, letters, etc.)
  • Timesheet administration
  • Prepare monthly Staff Meeting slides
  • Prepare Daily Utilization Reports on a weekly basis
  • Schedule Accept PO Calls and update Accept PO reporting
  • Prepare Closed Variance Report on a monthly basis
  • Prepare monthly Cambridge NPS spreadsheet as well as To Budget, To Plan, Invoicing, NPS, Project Variance and Survey Reports
  • Prepare weekly NPS report
  • Administers Customer Survey process
  • Assist with the preparation of the Quarterly Sales Meeting
  • Obtaining Certificates of Insurance and Workers Compensation certificates
  • After hours and FSR schedule administration
  • Maintenance of vacation calendar
  • Reconciliation of Corporate and Executive team MasterCard’s on a weekly and monthly basis
  • Shipping/receiving for all staff at Meadowbrook
  • Office equipment administration including copying, scanning and faxing
  • Shipping and receiving
 
 
Qualifications:
  • 3 to 5 years of experience, in an Administrative Assistant role.
  • Able to thrive in a fast-paced, dynamic environment
  • Advanced skills in Microsoft Office applications (Word, Excel and Powerpoint, Publisher and Visio)
  • Strong organizational skills and the ability to prioritize and manage high volumes of work
  • Able to work independently under minimal supervision
