We have locations in both Canada and the USA. We currently have the following position available at our Ingersoll location. OFFICE ADMINISTRATOR
 
The ideal candidate will have experience in the Automotive Industry with exposure to a fast paced environment.
 
Prerequisites
  • Grade 12 education
  • College or University education or equivalent experience
  • Valid driver’s licence
  • No criminal record for which a pardon has not been granted
  • Must possess intermediate to advanced computer skills
 
Reports To Department
  • Plant Manager
  • Distribution
 
General Responsibility
  • Mail retrieval – once weekly
  • Assist/organize team member appreciation events
  • Data entry - Sales vs Labour – daily
  • KPI – retrieve data from Area Leaders and enter into system weekly
  • Co-ordinate meeting resources
  • Act as a liaison for cleaning staff, ensure standards are satisfied
  • Payroll adjustment forms – ensure completed in a timely fashion
  • Expense reports as needed
  • Assist team with organization of Supplies storage and re-order points
  • Retrieve invoices from Home hardware
  • Ensure boardrooms are professional and lunchroom is stocked for team members
  • All other relevant duties as required
  • Ensure key storage system is organized
  • Server – change tape and record temperature and humidity - daily 
 
Direct Responsibilities
  • Payroll – timesheet data entry in Coach
  • Reports created and forwarded to Corporate and Staffing Agencies - time sensitive - Mondays by noon. Tracking of absenteeism
  • Accounts receivable – pre-invoices created in Coach
  • Forwarded to Corporate – time sensitive – Tuesday’s by noon
  • Accounts payable – Create purchase orders – ensure timely authorization – forward to corporate – time sensitive – cheque runs  10th of 25th of month
  • Budget compliance – update tracker and flag any overages
  • Supplies – Order supplies for Office and Plant functions as needed, benchmark costs annually
  • Professionalism – ensure all guests to TFT are treated as a Customer (Respect, Dignity and with Courtesy)
  •  Record Retention – Accurately filing plant records including training, safety compliance, preventative maintenance, invoicing, payroll and timesheets.
