Job Description
Position Summary
The Continuing Education & Events Administrative Assistant’s main responsibilities will be to assist the CE & Events Manager in the overall planning and execution of all administrative duties related to Canadian tradeshows, CE courses & hands-on workshops as well as our destination conferences. This role also includes database maintenance, mailings, and any other tasks required by the CE department as they arise. A close working relationship with the CE & Events Manager, CE & Events Coordinator and the Director of CE. This position reports directly to the CE & Events Manager.
Specific Accountabilities

- Tradeshows
- Read exhibitor’s manual to ensure all deadline dates and rules & regs are met and followed.
- Coordinate shipping of product from head office and/or warehouse to the appropriate tradeshow as well as the return shipment.
- Coordinate all details for tradeshows, including insurance, booth design remittance, order furnishings & electrical for booths, material handling and labor.
- Coordinate flights and hotel accommodations for tradeshow attendees.
- Supply necessary paperwork; ie order forms, pricelists, travel “bible”, flyers, specials, etc.
- Show analysis and budget.
- Seminars / Hands-On Workshops
- Researching & booking venues for CE events.
- Registration process, invoicing and emailing of confirmation letter to all registrants.
- Accreditation letters.
- Registration packages assembly & supply necessary paperwork & literature for staff.
- Assist in ordering of Audio Visual and catering.
- Assist in arrangement of travel and accommodation for guest speaker & CRD staff.
- Put together lead information package.
- Coordinate shipping of product from head office and/or warehouse to the appropriate CE event as well as the return shipment.
- Attend seminar / hands-on clinic as required.
- Tabulate the attendee surveys.
- Tabulate list of attendees for all upcoming courses on a weekly basis.
- CE Event analysis and budget.
- Miscellaneous Responsibilities
- Database management
- Assist in packing and registration kit assembly for destination conferences.
- Mailings – from producing labels to inserting literature in envelopes, sealing envelopes and labeling envelopes.
- Assist CE department with other duties & task as they arise.
- UPS and ICS shipments from head office
Qualifications
- Post secondary education or 5 years experience in an administrative event planning position.
- Strong computer and organizational skills – proficient in Word, Excel and PowerPoint.
- Team player: Leads and supports change.

- Demonstrates integrity and ethics; sets a personal example.
- Services customers by meeting their needs and focusing on customer satisfaction.
- The ability to work well and build co-operative relationships with people at all levels.
- Bilingualism would be a definite asset.
- Availability to travel.
- Available to take phone calls/emails/text messages evenings and on weekends when events are occurring.
