Job Description
Summary of Duties
Reporting to the Director, Strategic Communications and Government Relations, the Administrative Assistant II performs a wide variety of administrative, customer service and clerical duties to support the Director or Division, as required.
Work Performed
- Receives visitors and phone calls to the assigned Division; provides initial response and/or redirects inquiries for the Director or Divisional staff.
- Processes all mail for the Director and Division.
- Manages personal, confidential and routine correspondence for the Director or Division and personnel matters as assigned within the Division.
- Maintains and makes available to the Director or Divisional staff any manner of files, records or documents.
- Arranges or coordinates meetings for the Director or Divisional staff. Arranges appointments and maintains calendar for Director as assigned.
- Prepares and distributes agendas and takes minutes at meetings.
- Performs a variety of confidential administrative functions including processing expenses and maintenance of divisional files. Carries out research and projects, as required, including surveys and polls.
- Assists with formatting reports and takes from rough draft to final printing under the direction of an assigned Director or divisional staff.
- Participates in various team projects related to the area.
- Books conferences and makes travel arrangements for Director or other Divisional staff.
- Liaises with Councillors, consultants, community groups, external agencies and senior levels of administration within and outside the Corporation to request and exchange information.
- Maintains and orders supplies and forms for the Division.
- Operates standard office equipment.
- Performs related duties as assigned.
Qualifications/Experience
- Two year Community College Diploma in Office Administration - Executive, or equivalent.
- Four to five years of experience in a senior administrative assistant capacity.
Specialized Training & Licenses
Skills and abilities in the following areas are necessary:
- Well-developed oral and written communication skills and excellent conflict resolution, interpersonal, organizational and time management skills.
- Proven ability to work with minimal supervision and with the utmost discretion.
- Typing speed 60 w.p.m. and demonstrated proficiency in taking minutes.
- Excellent working knowledge of computers and Microsoft Office suite of programs to include Word, Excel and PowerPoint. Demonstrated ability to use JD Edwards’s software.
- Experience in a municipal government environment an asset.
Compensation and Other Information
$54,591 to $73,606
