Production Planning Administrator
Duties & job responsibilities:
Production:
- Orders are received via fax and email
- Drawings printed off thru customers database (CAD Viewer & View Companion)
- Determine what needs to be ordered (ie. Molded components)
- Enter order into computer planning system (Excel based), all individual parts
- Parts list is generated and order is broken down into each different cell in the shop
- Print & distribute job cards to job planning board
- Monitor order status, completion of jobs and shipping status
- Interact with two Production Supervisors and various lead hands to effectively track each order for the customer
- Deal with customer concerns thru phone calls, faxes and e-mails
- Advise customer of order status/late deliveries/rush orders
- Process customer changes and communicate these to Production
- Assist Quality Department to resolve customer NCR’s
- Interact with shipping department to guarantee gross and net weights for invoicing purposes and shipping documents
- Generate invoices, shipping documents and customs papers thru SBT software
- Schedule trucks on a daily basis
- Other duties as assigned
- Excellent organizational, analytical, problem solving and interpersonal skills
- Strong Customer Service skills with the ability to provide prompt and accurate information to customers
- Excellent verbal and written communication skills
- Strong time management skills with the ability to effectively balance changing priorities
- Tact and diplomacy to deal with customers, supervisors, lead hands and fellow staff
- Computer proficiency in a Windows environment (Excel, Access), CAD based Viewer and SBT Accounting Software
- Ability to read customer drawings
- 1-2 years experience in Customer Service, Purchasing and Materials Management
- Experience in the Power Transformer Industry would be considered an asset
