POSITION DESCRIPTION
PRIMARY OBJECTIVE OF POSITION:
To implement programs and services designed to mobilize the engagement, leadership and commitment of Ivey alumni in furthering the goals of the School. The Alumni Relations Associate, Alumni Programs, will play a critical role in managing relationships with members of the alumni community. New relationships will be identified and built by developing special events to specific segments of the alumni population.

University Degree or two-year college diploma from a recognized community college with a minimum of three years of experience in event planning.

This is a 2 year renewable contract position with full benefits.

PRIMARY OBJECTIVE OF POSITION:
To implement programs and services designed to mobilize the engagement, leadership and commitment of Ivey alumni in furthering the goals of the School. The Alumni Relations Associate, Alumni Programs, will play a critical role in managing relationships with members of the alumni community. New relationships will be identified and built by developing special events to specific segments of the alumni population.
KEY RESULT AREAS:
- Special Events: Conceptualize, develop, plan and manage all alumni-related special events such as Homecoming, Class Reunions, Ivey Ring Tradition Ceremonies and Global Ivey Day events. These events will be done in cooperation with other members of the Advancement team as required.
- Volunteer Recruitment and Retention: Build effective relationships with alumni; steward relationships with active volunteers. Develop Class Liaison network to ensure each class/section is properly represented and develop a strong relationship between the School, the liaisons and their respective class.
- Ivey Alumni Network Board Meetings: Attend and participate in bi-annual meetings to fully understand the strategy and vision of the IAN Board and the integral role played by the Alumni Relations team.
MAIN ACTIVITIES:
ACTIVITIES WITH PRIMARY DECISION-MAKING RESPONSIBILITY:
- Manages a worldwide network of over 550 total volunteers (including @300 Class Liaisons, @150 Class Reunion Leaders and @100 students);
- Event and program management; responsible for a $210,000 budget;
- Develops publicity strategy for departmental programs and events;
- Delivers knowledge of the School’s activities to generate support and commitment;
- Manage the planning and execution of events and programs designed to generate commitment and support to the Ivey Business School.
ACTIVITIES REQUIRING CONSULTATION AND/OR COOPERATION:
- Contribute to the development of overall Alumni Relations strategies and goals;
- Writing and production of communication material for alumni activities and events;
- Provide input to the preparation of formal speeches for the Dean, Associate Deans, Program Directors and IAN Board Chair for Homecoming and Ivey Ring Tradition Ceremonies;
- Participate in and attend meetings that enhance and contribute to Alumni Relations programs;
- Contribute to the development and execution of large scale team-planned events and initiatives.
REQUIRED EDUCATION AND EXPERIENCE:
University Degree or two-year college diploma from a recognized community college with a minimum of three years of experience in event planning.
SKILLS AND ABILITIES:
- Demonstrated skill in planning, coordinating and executing large scale special events.
- First-rate customer service and people skills.
- Excellent organizational, planning and time management skills, attention to detail and an ability to manage multiple priorities effectively.
- Extremely effective interpersonal skills with a professional presence and manner; capable of exercising independent judgment and flexibility.
- Excellent oral and written communication skills. An ability to write effectively and persuasively and to converse easily with senior executives, alumni, faculty, staff and service providers.
- Competent advanced function computer skills using Microsoft Office Suite, plus an aptitude to quickly adapt to new technologies.
- Superior knowledge of website maintenance and social media
- Knowledge of the administrative procedures of the University and the Ivey Business School would be beneficial.
- Ability to work in teams or independently with minimal administrative support.
- Maturity, poise and diplomacy with the ability to build effective relationships with alumni, senior business leaders and students.
- A public relations orientation; tact, diplomacy, a well-developed sense of style and a strong instinct for social protocol.
