The Position

This role provides administrative support for the Ontario office.  It is the first point of contact for clients, agents, regulators and internal staff and will assist with and follow up on project work and handle general office duties.

 

Key Responsibilities

  • Drafts and edits correspondence, communications, reports and other documents. Files documents.
  • Monitors and prepares expenses, contracts, purchase orders, and invoices.
  • Collects, verifies, tracks and enters information into databases and spreadsheets and produces reports. 
  • Coordinates calendars, calendar events and schedules.
  • Coordinates meetings, prepares agendas and meeting materials and takes and distributes minutes.
  • Books travel and accommodation and handles other arrangements.
  • Fields and responds to inquiries, phone calls, voicemail, and faxes and directs messages to the appropriate people.
  • Greets visitors and provides excellent customer service.
  • Manages the flow of incoming mail and prepares outgoing mail and couriers.
  • Manages the uniform distribution process and may draft the uniform budget.
  • Updates contact lists and organization charts.
  • Monitors, organizes, orders and stocks office supplies and equipment.  
  • Calls in service orders for office equipment failures and maintenance.
  • Participates in ad hoc and ongoing projects and assignments.

 

What You’ll Require

  • 2 years’ experience supporting senior level managers as an Administrative Assistant
  • Post-Secondary certificate or diploma in a relevant field or equivalent combination of education and experience
  • Excellent written and verbal communication and editing skills with a typing speed of 45 wpm or more
  • Intermediate to advanced skills with email, MSWord, MS Excel, publishing software and Internet navigation/research
  • Excellent and respectful customer service skills including a demonstrated ability to be friendly, efficient, polite and patient
  • Ability to maintain confidentiality and deal with sensitive matters with tact and discretion
  • Ability to work flexible hours and work reasonable overtime as required
