Brescia University College campus is situated on the traditional lands of the Anishinaabeg, Haundenosaunee, Lunaapéewak and Chonnonton Nations. Brescia is currently seeking an experienced and dynamic individual to fill a position as:
 
Academic Advising Programming Coordinator
(Temporary Full Time Contract Position)
Rate - $32.66 per hour


Reporting to the Acting Registrar, the Academic Advising Programming Coordinator is responsible for designing and delivering programs and materials to respond proactively to student needs concerning academic advising and progression throughout their degree programs. In addition, this position will work closely with the Senior Academic Advisors and other student support areas in the University, such as The Hive, to support campus initiatives and resources.

The Academic Advising Programming Coordinator position requires a detail-oriented individual who can prioritize and multi-task in a busy environment. This position requires strong judgment, problem-solving skills and effective verbal and written communication to build a positive rapport with students. Excellent computer skills and familiarity with PeopleSoft are required. The ability to work within a team and demonstrate initiative and accountability for individual responsibilities are essential. Project management experience would be an asset.

KEY DUTIES AND RESPONSIBILITIES

Academic Advising Support:
  • Provides academic advising support, drawing from a broad knowledge of various university policies and procedures to support student degree selection and career goals
  • First Year Advising for module registration and course selection 
  • Conducts degree checks and communicates requirements to support a strategy for completion
  • Adjudication, verifying and approving students have met program degree progression requirements
  • Academic consideration requests for students seeking academic relief
  • Responds to complex student situations to provide direction and refer to appropriate support services 
  • Post Degree Planning Support, providing information relating to post-degree programs, Internships, etc.  

 Communication Support:
  • Communicating policies and procedures through email and in person to support one-on-one advising 
  • Gives presentations to promote and highlight the delivery of new and existing program initiatives as required
  • Facilitates the Academic Advising Communications Plan to assist with messaging for Academic Advisors
  • Maintains website, marketing and information materials for registration events 
 
Event Planning:
  • Creation of material and communications plan for Intent to Register and Summer Orientation Days
  • Supports post-graduation events, such as Beyond Brescia and the Post-Graduate Opportunities Fair

Program Planning
 
  • Review and identify areas for program support as needed, and make recommendations for change
  • Support new and ongoing programming initiatives to help ensure successful degree progression 
  • Liaise with faculty to develop new ways to promote module and course offerings 
  • Create programs to highlight the delivery of new and existing program initiatives 

Other Duties:
 
  • Assists with the general duties of the Registrar’s Office as needed
  • Ongoing review of resource materials (print, web, in person, etc.) available to students and their parents
  • Other duties as assigned/required

REQUIREMENTS OF THE ROLE INCLUDE:
  • University degree
  • A minimum of 2-3 years of related experience with preference given to experience in a post-secondary environment.
  • Experience with online data systems, PeopleSoft or equivalent systems is an asset
  • Advanced computer skills with a high level of proficiency with Microsoft Office applications (Word, Excel, PowerPoint, and Outlook)
  • Strong communication skills in all forms, including written, oral, email, telephone, and presentation
  • Excellent interpersonal skills and the ability to build relationships with a diverse student population 
  • Experience with academic advising experience in post-secondary education is considered an asset
  • Excellent time management skills and proven ability to handle multiple projects with competing deadlines and prioritize tasks
  • Project management experience would be an asset
  • Proven ability to work independently with minimal direction
  • Able to make decisions independently and determine when appropriate support services are required
