Job Description

McKenzie Zayed is looking for a mature and competent Office Administrator to provide quality patient service and to ensure smooth operations of the office. We are seeking a highly responsible, self-motivated and personable individual who is able to work both independently and as an integral part of our team. The administrator will offer support to the associates within the practice, but will report to the practice owners/partners.
 
QUALIFICATION REQUIREMENTS 
  • Medical office administration diploma or bachelor university degrees are preferred. May also consider relevant hospital or clinic administration experience.
  • Excellent English verbal and written communication skills (including grammar, spelling, proofreading, and editing), and interpersonal skills.
  • Strong organizational and time management skills, and meticulous attention to detail.
  • Strong sense of professionalism and patient confidentiality/privacy issues.
  • Experience with Microsoft Office (Word, Excel, PowerPoint) and comfort in using other technical platforms (e.g., google calendar, web searching). 
KEY RESPONSIBILITIES 
  • Facilitate, in collaboration with the practice partners and associates, the coordination of patient intake, assessment, and treatment. Will involve engaging directly with patients, external health care professionals and case managers, and referral sources.
  • Take incoming calls and manage the phone and email systems, as well as perform general office reception duties including handling couriers, and sorting incoming mail and faxes.
  • Ensure daily set up and smooth functioning of the office, including inputting data and managing patient records, filing and organizing/maintaining the paper and electronic filing system, coordinating internal and external meetings, and filling in gaps in the cleanliness and maintenance of the office environment.
  • Arrange and manage scheduling of patients, and handle and process payments made by patients and third party payers (in person or through email/fax/electronic systems).
  • Assist in the preparation of documents, such as letters, emails, presentations, spreadsheets, and reports, using a variety of software platforms.
  • Handle basic financial operations of the practice, including banking, paying bills, and basic bookkeeping. Liaise with the practice accountant to assist in maintaining records.
  • Liaise with the property manager, labourers, and repair personnel as needed to address office/?building issues.
  • Order and procure office supplies, kitchen supplies, and any special requests.
  • Assist with special projects associated with the growth and development of the practice in coordination with the practice partners. 
Located in downtown London, Ontario, McKenzie Zayed offers a comfortable and attractive workplace with free on-site parking. The Office Administrator is expected to maintain office hours from 8:30 am to 4:30 pm Monday through Friday.
