Description of Responsibilities
I. Operator Reception
- Answer high volume of inbound/ outbound calls and maintaining a response rate swiftly in accordance with agreed standards.
- Operate a switchboard system to answer, screen and forward telephone calls, taking messages and providing information as required.
- Determine and evaluate the addressed requests over the phone, and to written or verbal instructions.
- Needs to prepare and maintain the records by entering information on received calls, where necessary.
- Prepare and maintain the list of availability of staff continuously to receive incoming calls and update the list in a timely fashion.
- Route emergency calls appropriately.
- Place telephone calls or arrange conference calls as instructed.
- Monitor the switchboard system status and defect.
- To greet customers, visitors and suppliers and direct them to the appropriate individuals.
- Train new users on the switchboard system.
- Stamp messages with time and date, and file them appropriately.
- To monitor and order office supplies.
- Photocopy and collate documents for distribution, mailing and filing.
- Maintain and prepare reports from manual or electronic files, inventories, mailing lists and databases.
- Process incoming and outgoing mail, manually or electronically.
- To provide clerical support and administrative assistance to employees in all departments.
Qualifications
- Fully Bilingual, English and French
- College Diploma in a Secretarial program.
- 1-3 years’ administration/office experience.
- Switchboard experience is an asset.
- Excellent communication and interpersonal skills.
- Proficient in Word and Excel.
