  POSITION DESCRIPTION
 
TITLE:                                               Clerical I  - Reception  (2 part time positions daily)
                                                            (8:15 am to 12:30 pm – 4.25 hours)
                                                            12:15 pm to 4:30 pm – 4.25 hours)
 
DEPARTMENT:                              Administration

POSITION SUMMARY:
 Operates the telephone switchboard, provides clerical support and customer service.
 
PRINCIPAL RESPONSIBILITIES:
  1. Answer and direct incoming calls and receive messages utilizing phone and voice mail system and provide answers to general questions. 
  2. Provide customer service in response to enquiries and requests from the public and Members of Council, along with directions to meeting rooms or offices.
  3. Types Charitable Donation Receipts and invoices, sorts cheques, and envelope stuffing as required.
  4. Display brochures and sell County maps which includes receiving, balancing and summarizing cash sales.   
  5. Operates postage meter and records postage for all departments. Delivers mail to box by 4:15 and to post office when necessary.
  6. Open, stamp and sort mail for Treasury and Ontario Works departments.
  7. Receives income card statements from OW clients and checks to ensure document is competed properly
  8. Distributes electronically all incoming faxes, sorts mail, sends and receives courier parcels.
  9. Contacts Building Maintenance Supervisor or alternate if fire alarm rings and monitors building occupancy for evacuation.
  10. Open building at 8:15 am and locks building by securing doors by 4:30 pm.
  11. Perform other duties as assigned.
 MINIMUM QUALIFICATIONS:
 
Secondary School Graduation Diploma.
Ability to keyboard and operate general office equipment.
Excellent communications and interpersonal skills.
