Job Description

We are currently recruiting for a temporary, full-time (37.5 hours per week) Administrative Assistant in the Early Childhood, School Age and Adolescent Program.  This is a new position as a result of temporary funding to support the tykeTALK, Infant Hearing, and Blind Low Vision Programs.  The designated office for this position is London. This position is expected to begin in November 2019 and end March 27, 2020.

Responsibilities:
  • Provide administrative support to the tykeTALK (Preschool Speech and Language), Infant Hearing, and Blind Low Vision Programs;
  • Assist with the organization of meetings & program events (may include scheduling, room bookings, sending GroupWise appointments, etc.);
  • Minute taking at system-wide meetings (e.g., Services and Liaison meetings);
  • Receive phone calls from families, partner organizations, other TVCC staff, etc., and redirect inquiries as necessary;
  • Track submission of tykeTALK, Infant Hearing and Blind Low Vision Program statistics, outcomes measures and other program information and follow up on missing information;
  • Maintain client files with current, accurate information including updating appropriate information in the Client Information System;
  • Run program reports from ISCIS & GoldCare (e.g. for billing; program management)
  • General filing and other administrative duties as required;
  • Act as a GoldCare and ISCIS and overall computer software support for team;
  • Work collaboratively with other ECSAAP Administrative Assistants and provide back-up support as needed especially with tykeTALK responsibilities; 
  • Receive, sort & process Newborn Hearing Screening forms and forward to partner agencies as appropriate.
  • Occasional travel within London as required;
  • Other duties as assigned.

Qualifications:
  • Community college diploma specializing in office administration;
  • Strong customer and family-centered care focus;
  • An ability to be flexible and dynamic and to prioritize and meet deadlines while balancing a number of tasks and being detail oriented;
  • Proficiency in minute taking;
  • Highly developed interpersonal, communication and organizational skills;
  • Strong typing skills and excellent computer skills including proficiency in Word, Excel, PowerPoint and Access;
  • An ability to troubleshoot with other team members software and hardware issues;
  • Ability to work effectively in a team environment.
