Job Description
JOB SUMMARY
The Parish Administrator supports and assists the Rector of St. Aidan’s by assuming responsibility for managing office functions to ensure smooth administration of day to day correspondence and administratively support needs of the Rector, Assistant Curate, Parish Nurse, Children’s and Youth Ministry Leader and Churchwardens, and others as directed by the Rector (Priest)
DUTIES AND RESPONSIBILITIES
• Communications:
o respond to all incoming inquiries via email and phone; follow
up on inquires with appropriate staff or parishioners
o administer email correspondence; administer mass parish
mailings; receives and processes all mail
OFFICE ORGANIZATION
o Ensure office supplies including stationary, bulletins, member
envelopes, etc. are purchased, organized and stocked
o Ensure that office equipment (photocopier, printer, fax) is
maintained in good working order
SCHEDULING
o organize weekly liturgy assistants(Church Volunteers) for
Sunday services and send out reminder notices
o facilitate Parish Hall rentals
o manage general church usage calendar and electronic sign
for upcoming events and messaging
DATABASE MANAGEMENT AND REGISTERS:
o maintain statistical changes in membership database
(Powerchurch) and notify all who need to be updated
o maintain key contacts lists for frequent vendors and renters
o track altar flower donations and special offerings
o maintain marriage, baptism, burial, vestry, etc. Registers
o maintain accurate petty cash records, with receipts and give
to treasurer for reconciliation
TRANSCRIPTION
o attend, record, edit and distribute monthly Parish Council
meeting minutes
o attend, record, edit and distribute annual Vestry Meeting
WEEKLY CHURCH SET UP
o prepare weekly Sunday service bulletin as directed by the
Rector; receive, edit, print and disseminate Sunday service
booklets, readings and prayers; prepare same for special
services such as Christmas, Easter, weddings and funerals.
o develop, post and distribute liturgy schedules to Intercessors,
Lectors, Altar Guild, Servers, Lay Readers and others
involved in liturgy
o adjust hymnal wall display
o amend displayed promotional materials and bulletin calendars
according to their dates of expiry
NEWSLETTER AND SPECIAL EVENTS
o Request and compile updates from parish council members;
proofread and edit submissions; upload electronic version of
newsletters to web directory; track recipients via sign-off
sheet.
o support the production and distribution of special mailings
and reports, including Christmas, Easter, Thanksgiving, and
Year-End Commitment for regular giving’s, annual
report and other special communications as required.
ACCOUNTS RECIEVABLE
o liaise with Finance Committee Chair, Bookkeeper, and Rector
on all financial matters
o to prepare invoices and collect payments from renters
o oversee petty cash disbursements and cheque requisitions
o manage all invoices in conjunction with the Bookkeeper
o track payroll hours and issue monthly cheques for
subcontracted employees
o sell tickets and related promotional items for special events
and fundraisers
OTHER DUTIES AS REQUIRED
o Provide administrative support for special projects of the
Parish, as required
Time Commitment
• 18 hours/week
• Attendance at monthly Parish Council meetings (2 – 3 hours
included in the 18 hours for that week)
Required Computer Skills
• MS Office Suite (Word, Excel, PowerPoint, Picture Manager)
• Social media – Facebook, Twitter
• Google Calendar
• Powerchurch (can be taught)
• Electronic sign updating (can be taught)
• Familiar with editing products such as Abode Photoshop or
similar
