Job Description

Position Title: Finance A/P Coordinator Company: Ascent
Reports to: Finance Manager Location: Tillsonburg
Department: Corporate Services Band:  8
 
Position Summary:
This position reports to the Finance Manager and is responsible for accurate review, processing and payment of supplier invoices.  The position compiles data for financial analysis and reporting.
 
Major Responsibilities:
Technical:
  • Accurately reviews and processes vendor invoices in accordance with the purchase order and/or management approval.
  • Prepares detailed AP aging reports for management approval and timely payment and provides positive assistance to vendor inquiries to build good business relationships.
  • Provides detailed and timely month and year end analysis reports and documentation to support the finance team and corporate financial timelines.
  • Coordinates corporate credit card distribution to ensure compliance with appropriate policy and answers employees’ inquiries as required.
  • Organizes vehicle fleet files and updates insurance change forms as required to ensure all information is current and correct. Coordinates the annual license renewal process and collects fuel card receipts for statement reconciliation and vehicle fleet reporting.
  • Prepares daily bank deposits and delivers the deposit to the bank.
  • Provides support to the payroll administrator as required to ensure payroll distribution and reporting is accurate and timely.
  • Maintains detailed records to perform A/P duties and provides accurate reports and reconciliations for financial reporting purposes.

  • Ability to evaluate standardised facts/data, usually requiring the compilation of information and/or the ability to verify or reconcile information by cross-referencing between two or more data sources
  • Recommends refinements from established alternatives to improve processes within own job or work area or to improve quality of work undertaken
     
 
 
Knowledge and Education
  • Minimum college diploma or certificate in Accounting and/or Business Administration.
 
Working Conditions
 
Physical Effort:
Minimal fatigue or physical stress.  Required to stand or sit in one location much of the time in a comfortable indoor location.  There is some stooping and lifting or handling of light material.
Physical Environment:
Minimal discomfort or risk of ill health.  Environment is generally comfortable with exposure to some dust or dirt or other conditions which might produce mild discomfort.
 
Sensory Attention:    
Moderate sensory attention. There are some events or factors in the environment which require concentrated use of two or more senses periodically, but the demand is not excessive.
 
Mental Stress:
Moderate mental stress would be experienced by most people because of one or more conditions which are present in the job.  The stress felt would not be noticeably disruptive to the work nor would the unpleasant reaction be strong or persistent. Noticeable pressures from deadlines, quotas, accuracy.
